Best ERP software for SMEs in Kenya: how to choose

Navigate publishes this guide and is one of the options in it, so read it with that in mind. No ERP is best for every Kenyan SME: the right choice depends on how you meet eTIMS, how you handle M-Pesa, how complex your stock is, and who will support you locally. Shortlist two or three systems and test each one with your own invoices, stock and month-end.

About this guide

We wrote this guide, and we sell one of the products in it. We do not give scores or name a winner, because we cannot be a neutral judge of our own product.

What we can do is set out the questions that matter and say what each vendor's own pages stated when we read them on 31 October 2026. Tables are in alphabetical order, which is not a ranking. Vendors change products and prices, so confirm anything important before you decide. Sage is a known name in this market, but its product pages did not load for us, so we left it out rather than guess. Add it to your own shortlist if it interests you.

Selection criteria

Use these seven questions in this order. The first two can rule a system out quickly.

  • eTIMS. KRA says all persons in business must onboard eTIMS and issue electronic tax invoices. Ask how the system connects and who handles the setup.
  • Money in and out. Does M-Pesa come in directly, through a payment provider, or by manual entry? Does a payment clear the right invoice without retyping?
  • Stock. Do you need serial numbers, batches, pack sizes, several warehouses, or landed costs on imports?
  • Accounting depth. Do sales and stock post to the ledger by themselves? Will your accountant accept the statements?
  • Implementation and support. Who sets it up, and who answers when month-end fails? Is that person in your time zone?
  • Total cost over three years. Count subscriptions, users, branches, implementation, training, data migration and third-party SMS and payment charges.
  • Exit. Can you take your data out in a usable form if you leave?

Run a fair test

  • Write down ten real transactions, such as a credit sale, an M-Pesa sale, a return and a stock transfer.
  • Ask each vendor to run the same ten on screen, using your items.
  • Have your accountant read the resulting ledger entries and VAT figures.
  • Ask for two references in your own sector, and call them. This applies to Navigate too.

When not to choose Navigate

Choose something else if you need a large global partner network, or if your group reports across many countries under one mandated system. SAP Business One or Business Central may fit better. Choose ERPNext or Odoo Community if owning and changing the code matters to you, since Navigate is not open source. If you only need bookkeeping for a few invoices a month, an accounting product such as Zoho Books, QuickBooks Online or Xero is simpler. Navigate also does not publish customer counts or ratings in this guide, so if an established track record is your main test, ask us for references and compare them with what larger vendors can show.

Where Navigate may not fit

  • Navigate has no on-premise licence offered on its public plans, and no source code access. It runs as a hosted service.
  • Navigate does not list a third-party implementation partner network comparable to the SAP or Microsoft ones.
  • Live bank feeds are on the roadmap. Today, bank statements are entered or imported for reconciliation.
  • Most screens need a connection. Only customer visits and sales orders on the phone can be captured offline.

Frequently asked questions

Is eTIMS required for Kenyan SMEs?

KRA states that all persons engaged in business must onboard eTIMS and issue electronic tax invoices, and that business expense deductions must be supported by valid electronic tax invoices. KRA also has a rule for small suppliers with turnover up to five million shillings, where the buyer may issue the invoice. Ask your tax adviser how this applies to you.

What is the best ERP for a small business in Kenya?

It depends on your stock, your accounting needs and your support needs. This guide does not name a winner because Navigate publishes it and sells one of the options. Test two or three with your own transactions.

Does an SME need ERP or just accounting software?

If your problem is bookkeeping, accounting software is enough. Consider ERP when sales, stock, purchasing and accounts are kept in separate places and the gaps are costing you time or money.

How long does ERP take to set up?

It depends on data quality, the number of branches and the modules you switch on. Ask each vendor for a plan based on your data, and treat any general promise with care, including ours.
