Service schedules and work orders

Preventive maintenance by km, hours or months - and repairs from request to release.

Steps

  1. On the vehicle's page, Add a service schedule: the name, every so many km/hours and/or months, when it was last done, and whether an overdue service restricts allocation.
  2. Services due appear on the dashboard and under Maintenance; click Raise work order - or raise one for a repair, accident, tyres, inspection or towing.
  3. Someone else Approves it; Start puts the vehicle under maintenance.
  4. Issue parts from a warehouse (a goods issue: Dr fleet spare parts / Cr inventory, on the vehicle). Link outside work already entered as a supplier invoice or expense - it is counted, not posted again.
  5. Complete work with the work done and internal labour hours and rate (Dr internal labour / Cr labour clearing). An approver may mark a qualifying improvement to be capitalised on the asset.
  6. An approver records the inspection and clicks Release to the fleet - the schedule restarts from that reading and date.

Good to know

  • A work order with parts issued can't be cancelled.
  • Ordinary repairs are expensed; only an improvement that extends the vehicle's life or capacity is capitalised - and only when decided.
