Steps
- 1. Main warehouse: stock is picked for the van.
- 2. Loading: the salesperson (or supervisor) asks for it, a supervisor approves, the warehouse loads it - a stock transfer into the van’s own warehouse, posted once - and the salesperson acknowledges what arrived.
- 3. Selling: from the van’s own POS counter - it lists only the van’s stock and never sells more than the van carries - or on a sales invoice from the van.
- 4. End of day: Navigate works out what should be on the van from the stock ledger; the salesperson counts and explains every difference; the supervisor approves each variance (posted to stock adjustments) or keeps it under investigation.
- 5. Return: unsold stock goes back - the warehouse verifies it before it reaches the main warehouse (damaged units to quarantine) - or stays on the van with the supervisor’s approval.
- 6. Close: finance reconciles cash, M-Pesa and card against the day’s sales; the supervisor closes the day and it is locked.
Good to know
- Expected closing stock = opening + loaded + customer returns − sold − returned − approved write-offs. Nothing is ever adjusted silently.
